Datenpool version 13.3.0 once again offers many new features that improve working in the data pool and significantly expand its possible uses. The focus is on workflows for reviewing and approving documents and plans, whose possible uses are greatly expanded with the new features. The following new features have been implemented in detail:
1. Size of the sidebars
Whereas the size of the sidebar previously had to be set manually, the width of the navigator dragged with the mouse is now automatically saved in the user profile. This allows the display to be customized to the folder structure shown.
2. Configuration overview
Additional information and details on the workflow process have now been added to the configuration overview, showing the defined review process and the stored review times.
3. Workflow diagrams
A special highlight of the new version is the graphical representation of the check steps in the workflow. In addition to the textual representation of the check steps with all relevant information, the associated workflow diagram can now also be opened, which interactively displays all check steps and shows how they relate to each other.
The display of the persons who can edit the workflow as configurators rounds off the new functions and now provides information about all processing steps in the workflow.
4. Function extension of inspection steps
Whereas it was previously possible to configure up to 15 inspection steps per workflow, the new version of the data pool now allows up to 25 inspection steps to be defined. The desired sequence of check steps is now also particularly flexible: serial and parallel check steps can now be combined as desired, and in combination with conditional approvals, this results in an almost infinite number of possible combinations. Another particularly practical feature is that the label of reserve check steps can now be changed individually by the configurator.
5. Individual info mails for conditional approval
It often happens that subsequent reviewers make conditional approvals that still require changes to the plan. It is now possible to actively inform other reviewers who have already completed their review steps in the course of this conditional approval. Since the recipients of the info mail can be freely selected, targeted messages to individual persons are also possible even in complex workflows.
6. Reset workflow status
To make the processing of review steps even more flexible, it is now possible to undo a selected review status. This allows the reviewer to temporarily save the review step and complete it later, even if the review status has already been selected. This new function is particularly important for workflows with extensive form fields, which often cannot be filled out in one go.
7. Configurable print forms
The order of the container sections can now be customized for printing document or plan containers. This new function is particularly useful when forms are used for entering data that also needs to be printed out.
8. Display of sent info mails
If info mails are sent in the course of processing documents or plans, these messages are now automatically assigned to the sent mails in the Datenpool’s mailbox. This makes it easy to check the sending of the info mail and documents the info mail for later purposes.
9. Folder permissions
Folder permissions have been completely reorganized: permissions for folders and containers have been separated and can now be set individually. Significant improvements have also been made to user-friendliness. Changes made are now displayed visually and sorted into new entries, changed entries, and deleted entries. Each editing process is now also recorded in the editing log so that all changes are transparently documented.
10. Folder administration
The new version also brings a significant improvement in administration for editing the folder structure for documents and plans. Whereas previously each folder had to be created individually, the new function now allows entire folder subtrees to be copied and inserted as new subfolders. This new function takes into account the fact that subfolders are often repeated when storing trades and plans.
